The Challenge

Field sales reps at human resources group Liantis were looking for ways to better balance their sales activities with administrative tasks. Time for high-value work was limited, and managers noticed opportunities to improve CRM data consistency and completeness. This would help reduce the need for follow-ups and ensure smoother processes.

Data quality varied across sales teams, which sometimes made it harder to maintain continuity and historical insights when onboarding new reps.

To address these opportunities, Liantis aimed to make the sales process more efficient without a lengthy or complex implementation. The business also sought the right technology to support a new growth initiative and accelerate market expansion.

The Solution

The sales management team explored different solutions. However, they found these tools better for inside sales at a desk and in digital meetings, rather than field reps on the road. Having already discussed their admin bottlenecks with Donna a year earlier, Liantis revisited the conversation when they launched a “boost plan” to capture new markets. The trigger for choosing Donna was the potential to save substantial time for field reps, while improving the quality and consistency of CRM data.

Liantis began the pilot with a proof of concept (PoC) involving reps from across three segments: independents, SMEs, and large accounts. Over three months, the group tested Donna and worked closely with the team to tailor her to Liantis’ sales process. They defined the questions Donna should ask, different meeting types, and the data needed for high-quality reporting.

After the successful PoC, the early users became ambassadors for the broader rollout. Together with Donna’s team, Liantis hosted an internal session to build excitement and ensure smooth adoption for the full sales organization.

The Impact

With Donna, reps save 10 to 20 minutes writing up good-quality visit notes, completing them on the go and wherever best fits their workflow. The backlog of missing visit notes is reduced, freeing up time for sales support who previously had to track updates and check they were completed.

Instead of short, five-sentence summaries, visit reports are longer and more detailed as reps respond to structured questions designed during the PoC. For every meeting, Donna captures the information needed for timely follow-up and effective decision-making.
